The Role
We are looking for a dynamic and organised People & Office Coordinator to join our team in Warsaw. This role sits at the intersection of HR and office operations, supporting both our people agenda and the smooth day-to-day running of the local office. You will work closely with the Country Director and collaborate with our international HR and operations teams.
What You Will Do
People & HR
- Support payroll preparation by collecting and verifying attendance data, leave records, and variable pay inputs in coordination with the payroll provider.
- Administer employee benefits programmes, acting as the first point of contact for staff queries on entitlements, enrolment, and changes.
- Ensure HR compliance with Polish labour law, maintaining up-to-date employee files, contracts, and mandatory documentation.
- Support the implementation and communication of HR policies and procedures, keeping the local team aligned with global Emeren standards.
- Foster employee engagement through regular check-ins, coordination of local initiatives, and support for team wellbeing programmes, including the Employee Assistance Program.
- Assist with onboarding and offboarding processes, ensuring a smooth experience for new joiners and leavers.
- Liaise with the global HR team on reporting, audits, and any people-related projects.
Office Administration
- Greet and welcome office visitors, ensuring a professional and welcoming environment.
- Oversee day-to-day office operations, maintaining all rooms clean and representative.
- Order supplies, IT equipment, and materials in line with budgeted costs; maintain relationships with suppliers, the landlord, cleaning teams, and other service providers.
- Manage invoice registration, review, and control in a timely manner in accordance with internal procedures, using the Invoice Management system to track payments.
- Coordinate travel organisation and obtain approvals for the local team in compliance with internal travel policies.
- Provide administrative support to the project development team, including assistance with proposals, reports, and presentations.
- Manage incoming and outgoing mail and meeting organisation.
- Handle clerical duties such as copying, printing, and binding.
What You Bring
- 3–5 years of experience in an HR, people operations, or office administration role — ideally combining both.
- Solid understanding of Polish labour law and HR compliance requirements.
- Experience supporting payroll processes and administering employee benefits.
- Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with an HRIS, ERP, or document control system is a plus.
- Excellent organisational and time management skills with the ability to multitask and prioritise.
- Strong written and verbal communication skills in both Polish and English.
- High attention to detail, a proactive mindset, and strong problem-solving skills.
- A collaborative, people-first approach and the ability to handle sensitive information with discretion.
